Privacy Policy

Prompt Information Technology ("Prompt IT", "we", "us") respects your privacy and is committed to protecting your personal information. This policy explains what we collect, why we collect it, who we share it with, and the rights you have under the Protection of Personal Information Act, 2013 ("POPIA").

Who we are

Prompt Information Technology is the Responsible Party (as defined in POPIA) for the personal information described in this policy.

Information we collect

Information you give us directly. When you complete our contact form or project brief, we collect your name, email address, business name, and whatever you choose to tell us about your project, including your indicated timeline and business type.

AI concierge conversations. If you use the chat assistant on this site, we process the messages you send it in order to generate a reply. Please do not enter passwords, financial details, identity numbers, or confidential third-party information into the chat.

Technical information. Our hosting provider automatically logs standard technical data such as IP address, browser type, device type, referring page, and timestamps. This is used for security, uptime, and diagnosing faults.

We do not knowingly collect information from children, and we do not collect special personal information (such as health, biometric, or financial account data) through this website.

Why we process your information

To respond to your enquiry and prepare a proposal or quote.

To provide, maintain, and secure this website and any services you have engaged us for.

To meet legal, accounting, and record-keeping obligations.

We rely on your consent, on the performance of a contract with you, and on our legitimate interests in operating and securing our business, as the lawful bases for this processing.

We do not sell your personal information, and we do not use it for automated decision-making that produces legal consequences for you.

Who we share it with

We share personal information only with service providers (Operators under POPIA) who help us run this business, and only to the extent they need it:

Anthropic — messages you send to our AI concierge are transmitted to Anthropic's API to generate a response. This means your chat messages leave our systems and are processed by Anthropic under their terms and privacy policy.

Vercel — our hosting provider. Stores and serves this website and its server logs, and provides the anonymous, cookie-free analytics described in section 8.

Email and business tools — used to correspond with you and manage our records.

Some of these providers process information outside South Africa. Where that happens, we take reasonable steps to ensure the recipient is subject to laws, binding agreements, or rules that provide an adequate level of protection, as required by section 72 of POPIA.

We may also disclose information where the law requires it, or to establish, exercise, or defend a legal claim.

How long we keep it

Enquiries that do not become projects are kept for up to 24 months, so we can pick up the conversation if you come back to us, and then deleted.

Client project records are kept for the duration of the engagement and for a further 5 years thereafter, in line with standard South African tax and record-keeping requirements.

Server logs are retained for a short period as determined by our hosting provider, generally no more than 30 days.

How we protect it

This website is served over HTTPS, and we apply standard security headers and access controls. Access to enquiry data is limited to those who need it to do their work.

No method of transmission or storage is completely secure. If a security compromise affects your personal information, we will notify you and the Information Regulator as required by section 22 of POPIA.

Your rights

Under POPIA you have the right to: ask what personal information we hold about you; ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, or unlawfully obtained; object to processing; and withdraw consent where we rely on it.

To exercise any of these rights, email us at info@prompt-it.co.za. We will respond within a reasonable period, and may need to verify your identity first.

If you are not satisfied with how we have handled your information, you may lodge a complaint with the Information Regulator of South Africa at inforeg@justice.gov.za.

Cookies and analytics

This website uses Vercel Web Analytics and Speed Insights to understand how the site is used and how quickly it loads.

These are deliberately privacy-preserving: they set no cookies, do not track you across other websites, and do not build a profile of you. They record anonymous, aggregated information such as which page was viewed, the referring site, approximate country, and device type. None of it identifies you personally, and we cannot use it to single you out.

Because no cookies are set and no personal information is collected for this purpose, no consent banner is required. If we ever adopt analytics that do identify visitors, we will update this policy and ask for your consent first.

We do not use advertising cookies, retargeting pixels, or third-party advertising trackers of any kind.

We may update this policy as our services change or as the law requires. The effective date at the top of this page reflects the most recent version.
